WHO: All 2008-2009 Delegates and Alternate Delegates should attend the convention. Unfortunately, we are unable to invite other CIR members or guests to the convention.

Travel Information

BY PLANE OR TRAIN: CIR will pay reasonable costs of an airline ticket. Please make your reservations by April 20 since the costs escalate dramatically as the date of departure nears. Your expenses are paid through membership dues and it is important that costs are kept as low as possible. If you are traveling from New York or New Jersey, and you do not wish to drive, the Amtrak train may be more convenient than air flight. If you chose to travel by air or train, we urge you to make your reservations through United Nations Travel at (800) 234-8685, and indicate that you are attending the CIR Convention. If you use United Nations Travel, you will not have to use your credit card as CIR will be billed by UN Travel. If you purchase your own ticket, CIR will reimburse you for reasonable costs of an airline or train ticket.

BY CAR: If you drive your own car, CIR will reimburse you at the current rate (about 50¢ per mile), plus receipted expenses for tolls and parking. If you rent a car, CIR will reimburse you reasonable costs for a mid-size car, plus receipted tolls, parking and gas. If you drive, we encourage you to go with another delegate to save expenses. You can submit the form as soon as you have incurred the expense.

Hotel Reservations

For hotel reservations, you must complete the on-line Convention Registration. Please register on-line by APRIL 20.

If you share a room with another delegate, CIR will pay for the full cost of the room ($225 plus $32.60 tax). If you choose to have your own room, you will be charged for half the cost ($128.80) for each night. All rooms are double occupancy.

If you do not wish your own room, the on-line Convention Registration form will ask you if you have a roommate preference that must also be an elected delegate or alternate.

If you do not indicate a choice of roommate, we will match you with another delegate. If you wish your own room, the amount you owe CIR will be deducted from any expense reimbursement for which you are eligible. Any remaining charges you owe to CIR for your own room will be billed to you directly after the convention.

When you arrive at the hotel, you will be required to provide a current credit card. Any incidental expenses you incur during the convention (phone calls, room service) will be charged to your credit card.

Registration on-line must be completed by APRIL 20. After April 20 we cannot guarantee that rooms will be available. If you make a reservation and must cancel, you will not be responsible for any charges if you cancel at least 72 hours before your scheduled arrival date.

Hotel Check In Time. Check in time is 3:00 PM. If you arrive earlier, you may have to wait until 3:00 to get into your room.

Spouses, Partners and Friends: This is a working convention with a full agenda. To participate fully and to have the opportunity to meet delegates from around the country, we encourage you not to bring your spouse, partner or friends.

Expenses Not Covered

CIR will not pay for telephone calls, room service, bar and restaurant bills, or other personal expenses. Breakfast and lunch will be provided on Saturday and Sunday. There will be evening receptions with light food on Friday and Saturday but dinners after the receptions are not provided and will not be reimbursable -- you will be on your own to have an opportunity to relax and socialize with other delegates from around the country.

The hotel features a spa and sports club that will be open at 6:00 AM during the weekend of the convention. There is a fee of $10 a day or $18 for your 3-day stay. Also there is a complimentary outside heated pool and Jacuzzi.

Clothing

Feel free to dress casually. Mid-May weather in Washington D.C. can be warm, cool or rainy.
